Examination cell Manual



Constitution of Examination Cell

The autonomous status was conferred to Duvvuru Ramanamma Womens College, Gudur with effect from the academic year 2010-11. The Managing Committee of the college, in its first meeting on xx-xx-201x, and decided to establish Examination Cell for the conduct of examinations and evaluation of the students of the college.
The Examination Cell is constituted in the following manner. A list of names is proposed for the appointment of the staff for the examination Cell by the Principal of the college and is placed before the Managing committee for its approval.  After the approval of the Managing Committee, the Principal appointed the Controller, Asst. Controller of Examinations, Office In charge, computer Operator, office subordinate, Record assistant and Attendee. The same is ratified by the Governing Body of the college.
Functions of the Examinations Cell
The Examinations cell is entrusted with the following functions.
  1. Notifying the schedule and dates of various stages connected with the   examinations. (Examination calendar of the year)
  2. Issue of notification of Examinations Schedule and Fixing the timetable
  3. Question paper setting as per the syllabi, model question papers decided by the Boards of Studies.
  4. Printing of question papers.
  5. Procurement of stationery, Answer Booklets, equipment etc., for the conduct of examinations.
  6. Conduct of 2 mid Semester Examinations in each Semester.
  7. Supply of examination applications to the candidates.
  8. Processing of Examination Applications and printing of Hall Tickets.
  9. Preparation of semester wise nominal rolls.
  10. Preparation of answer scripts (Removing the upper part of the Answer Booklet) for valuation.
  11. Coding the answer booklets
  12. Undertaking valuation of Answer Scripts. Scrutiny of Answer Scripts.
  13. Verification of CIA and External(Theory &Practical) posting of the marks
  14. Processing of marks and prepare the list of candidates for moderation(only for PG)
  15. Announcement of results through college website.
  16. Printing and Issue of the Grade Sheet(containing marks and grade letter) to students in each Semester.
  17. Revaluation of answer scripts (on the request /application of the students ).
  18. Conducting  the Instant Examination to the eligible students (For UG only).
  19. Preparation and Issue of Consolidated Grade Memorandum to passed out students.
  20.  Preparation and Issue of Provisional Pass Certificates (with counter signature of the COE of affiliated University) to  students.
  21. Submission of all data to the University for the Award of Original Degrees by the affiliating University.
  22. Maintenance of Tabulated Marks Register (TR’s) semester wise and Over all.
  23. Maintenance of Cash Book, Resolution book and Accounts book of the Examinations cell.
  24. Protecting Mid and SEE valuated Answer booklets up to five years.
  25. Prepare the list of students for awarding Gold medal, endowment, cash and proficiency prizes by the philanthropists and the college.
  26. Preparing the list of students eligible for condonation fee.

Procedure for Question paper setting
B.O.S members recommends syllabus, model paper, paper setters and valuators for the examination and evaluation. These setters and valuators are belonged to the other district. Soft copy of recommended syllabus and model paper is send to the paper setters for question paper setting . Every precaution is taken to set the question paper correctly and to maintain secrecy. Their acceptance is sort to set the question paper in the subject . After receiving their acceptance they invited to set 2 sets of question papers for each course. The relevant text books are supplied on request. They are also request to furnish the scheme of valuation. The paper setter is requested to send a soft copy to controller mail id. On un availability of B.O.S recommended paper setters/ valuators, will make alternative arrangements.
            After the preparation and printing of question paper the sealed cover will be handed over to the Principal.

Examination applications and Issue of Hall tickets
Issue of the exam applications and hall tickets are done through online. Minimum 15days is given to the students for the payment of examination fee without panel fee. If the student fails to submit the application within the stipulated period the panel fee will be collected according to the rules formed by the examination committee. If a candidate fails to bring the hall ticket for examination a duplicate hall ticket is issued by the COE with nominal panel fee.

Examination – Evaluation Methods
Semester end theory and practical examinations are conducted as per the examination schedule. Principal will act as  the chief Superindent of all the examinations. To improve reliability validity of education and also extract the skills of students the following evaluation system has been implemented. CIA – Continues Internal Assessment & SEE – Semester end Examination. The ratio of CIA & SEE is   30 :70  for  PG whereas for UG it is 40 : 60. The CIA marks are distributed for UG and PG as follows

 Two internal examinations are conducted with 1 ½ hrs duration for 40 Marks. The average of the two internal examinations were calculated for 20 marks only.
The objective test is conducted for 10 marks with 30 minutes duration.
One or two activities are conducted and assessed by the faculty of the concerned course. Activities includes Assignments, Class room seminars, Group Discussions, Quiz, Study projects, Web assignments, Plickers  etc.

SEE Valuation :
UG answer scripts are evaluated by one external examiner, whereas PG script by two external examiners.  Average of the two valuated marks are considered. If there is more than 20% variation in the two valuations, scripts are sent for the third valuation.  The valuators are belongs to other district colleges

Practical  Evaluation :
UG odd semester  practical skills were evaluated by one internal examiner  and even semester by  two examiners (one internal and one external examiner).PG practical skills were evaluated by two examiners for all semesters.

Revaluation & Personal Identification:.
The students are permitted to apply for revaluation of their answer scripts if they are not satisfied with the valuation.
The students are required to pay the prescribed amount for each course separately in which they sought revaluation.
If they have any doubt about their course, personal identification facility is provided. For availing this facility they have to pay the prescribed amount for each course separately.

Instant examination:
Instant examinations are conducted only for the UG final year regular out going students immediately after declaration of final results.
If any student fail in any two papers of any semester (during the regular study of her entire programme ) is permitted to appear for instant examination.
Generally instant examination will be scheduled within 20 days after the declaration of final year results.
The students are required to pay the prescribed amount for each course separately to appear for instant examination.

Moderation by Grafting facility is given only to the PG students.
This facility is given to a regular student, if she fails in the semester due to lack of  maximum two marks in only one course.
These two marks will be reduced from a course in which highest marks are obtained by the student.

Suspected Malpractice cases:
These cases are to be dealt as per University Guidelines.
Malpractice committee will consist of the Principal, the controller of the examinations, and three Academic council members.

For UG  CBCS system,  UGC recommended  10-point grading system is followed

SGPA   - (Semester Grade Point Average ) It is a measure of work done in a semester
SGPA = Total credit earned by the student  / Total credits of the course
               Credits Earned = Credits of the course X grade point

CGPA : (cumulative Grade Point Average ) It is a measure of overall cumulative
             performance of a student in overall semesters.

CGPA = it is a ratio of total credit points secured by a student in various courses in all
              semesters to the  total credits of all courses in all the semesters.

  • Grade is awarded separately for Part-1, Part-2, &  Part – 3.
  •  Provisional Certificate and Award of Degree will be counter signed by the
       controller of examinations of Affiliated University .
 Degrees are awarded by the college by the name of Affiliating University.

Publication of result:
After processing the results are published in college website and kept in college notice board.

Eligibility for appearing the Examinations:
  • 75 % of attendance is compulsory to appear for SEE.
  •  50 -74 % of attendance is required for SEE with condonation
  •  < 50 % of attendance is not eligible to take examination.
  •  75% of practical attendance is compulsory for practical examination
